Handyman work is fast, varied and usually paid on the spot, but a professional invoice still decides whether you get paid properly, keep records that survive a VAT registration or an MTD check, and look like a business rather than a bloke with a van. This guide covers the 2026 handyman invoice: call-out versus hourly versus fixed, labour versus materials, VAT, CIS, deposits, mileage and MTD records.
The short answer
A handyman invoice needs the job property address, a dated task list, your name and address, a unique invoice number and the total. Decide first whether you are billing a householder, a landlord or a contractor, because that decides VAT, CIS and reverse charge. Register for VAT only when taxable turnover passes £90,000. Most domestic odd jobs carry no CIS.
What has to be on a UK handyman invoice?
GOV.UK is narrower than most blogs tell you. By law you must give an invoice when both you and the customer are VAT-registered. If you are not registered, keep numbered records of what you charged, which is also how you get paid and how you track turnover. The essential fields are a unique identification number, your name or company name with address and contact details, the customer's name and address, a clear description of the work, the supply date, the invoice date, the amount charged, the VAT amount if it applies, and the total owed.
For a handyman, "clear description" means the property address, the rooms or items, the pricing model and the date, not a logo and a total. A sole trader with a trading name should show their own name and a serviceable address. A limited company shows the registered name, company number and registered office.

Call-out, hourly or fixed price: which do I use?
Handymen use three pricing models and the invoice should match how you quoted. Call-out is a fixed fee for travel and first attendance. Hourly, half-day or day rate suits open-ended odd jobs. Fixed price suits a defined scope such as assemble a wardrobe or hang three TVs. Call-out and hourly can sit on the same invoice: call-out covers travel and first attendance, hourly covers time after that. Fixed usually replaces hourly for that job, unless you agree dayworks for extras. Agree an evening or weekend rate on the quote and on the line, and never invent a premium after the customer has paid.

Should I split labour and materials on the invoice?
Split them when it helps the customer understand the total and when CIS might apply. For domestic work it is mostly about trust and disputes. Show labour as hours times rate or a fixed labour package. Show materials and parts at your cost and keep the merchant ticket. Do not bill customer-supplied or free-issue items as your materials. If you mark up materials, that is a commercial choice, not VAT, and you should be able to show the ticket and the line. Consumables such as blades and small fixings can be absorbed in labour or shown as a small line if you quoted it.
What VAT do handymen charge, and when must I register?
If you are not VAT-registered, do not charge VAT and do not show a VAT number. If you are registered, the standard rate of 20% applies to most domestic repairs, odd jobs and commercial handyman services unless a specific relief genuinely applies. Do not invent 0% on lived-in domestic repairs; check VAT Notice 708 and your accountant before printing a special rate. A full VAT invoice needs a sequential number, tax point, supplier and customer details, description, net amounts, VAT rate and VAT amount.
The registration threshold is £90,000 of taxable turnover in a rolling 12 months, or if you expect to go over it in the next 30 days. You can apply to deregister if turnover falls below about £88,000. The old £85,000 figure is stale and has not been current since 1 April 2024. Passing through materials increases turnover, so monitor the rolling 12 months; a busy year of call-outs plus parts can creep toward the threshold faster than labour-only work.
Does CIS apply to handyman work?
Almost never on domestic householder jobs. The Construction Industry Scheme needs a contractor paying a subcontractor for construction operations. An ordinary householder is not a CIS contractor, so your invoice to a private client does not carry CIS lines just because you used a drill. Most handyman snags and routine maintenance sit outside or on the edge of the scheme, depending on what you actually did, so test the facts before you print a UTR or a deduction. When CIS does apply, the contractor deducts from your labour: 20% if you are a registered subcontractor, 30% if you are unregistered and 0% if HMRC has granted you gross payment status. Materials at your direct cost come out before the deduction. Mark-up is not materials, and free-issue items supplied by the main contractor are not your direct cost.

Three jobs, three invoices
Most handyman invoice template pages treat every customer as a name and a total. On the doorstep they are not. A £45 call-out for a homeowner, a void turnaround for a landlord and a snagging list for a main contractor are three different bills.
Homeowner and private client: a normal invoice, no CIS and no reverse charge. Show call-out, labour and materials as separate lines when it helps the customer, and add VAT only if you are registered, usually at 20%.
Landlord or agent: the same rules as whoever is named as the customer. The property address, job list and keys returned matter more than a fancy logo. CIS usually does not apply if you sold the job to the landlord or agent as your customer.
Contractor or site snagging: test whether the work is even a construction operation under a contractor to subcontractor relationship before you print CIS lines. Many handyman snags sit outside or on the edge. When CIS does apply, show the labour and materials split, a UTR and the 0%, 20% or 30% rate on labour. Never reverse-charge a private householder.
Deposits, and how to get paid faster
Most handyman jobs are one visit and one invoice. Larger packages such as whole-house curtain poles, multi-room shelving or void turnarounds benefit from a deposit or stage payments. Invoice the deposit when you take it, then the balance on completion, and put any "while you're here" extra in writing as a variation before you start it.

Can I claim mileage on handyman jobs?
If you use your own car or van for business travel, HMRC's approved mileage rates let you claim 45p a mile for the first 10,000 business miles and 25p a mile after that in the tax year, instead of adding up every receipt. Keep a log of the date, destination and miles for each business trip, and keep your usual receipts if you would rather claim actual costs. Mileage you claim is separate from what you invoice the customer, so do not copy it onto the customer's bill.

Is the template MTD-ready?
Making Tax Digital for Income Tax is about keeping digital records and providing updates in a compatible way when it applies to you, not about your invoicing app filing your Self Assessment for you. Sole traders and landlords are brought in by income threshold: over £50,000 from 6 April 2026, then £30,000 from 2027 and £20,000 from 2028. What late payment rights apply to a handyman?
Consumers and businesses are different. For homeowners, agree a clear due date (due on visit or seven days is common) and chase with a short written reminder. For business customers, the UK late payment rules for business debts can allow interest and fixed recovery costs in qualifying cases. Keep the paper trail: quote, purchase order, invoice, reminder. Do not use aggressive debt-collector language on an £80 shelf job, and do not mix CIS threats into a payment chase.

Do handymen need a VAT invoice?
Only if you are VAT-registered, or if both you and the customer are VAT-registered and the law requires a VAT invoice. If you are not registered, do not charge VAT and do not show a VAT number. Keep numbered records anyway, so you can track turnover toward the £90,000 threshold.
Is the VAT threshold still £85,000?
No. The current VAT registration threshold is £90,000 of taxable turnover in a rolling 12 months, or if you expect to go over it in the next 30 days. Deregistration sits around £88,000. The £85,000 figure has been out of date since April 2024.
How do handymen usually charge?
Three ways: a call-out for attendance and diagnosis, hourly or half-day for open-ended odd jobs, and a fixed price for defined packages. Put the model you quoted on the invoice and do not switch models after the work without agreement.
Does CIS apply to handyman work?
