InvoiceAdept vs FreshBooks UK (2026): invoicing for trades, not freelancers
A consultant who bills five retainers a month and a bricklayer who bills deposit, stage and final on every job are not shopping for the same product. FreshBooks and InvoiceAdept both raise invoices. That is where the similarity ends.
InvoiceAdept is invoicing software built for UK trades. You raise the invoice, send it (including WhatsApp on paid plans), and get paid. It keeps a digital record of that income. It does not send Making Tax Digital updates to HMRC and it does not submit your Self Assessment, VAT return, or CIS300.
FreshBooks UK is invoicing plus light accounting aimed at service freelancers and small agencies. It markets unlimited invoices within client caps, time tracking, proposals, expenses, a client portal, and - on the plan grid we checked - Submit MTD-compliant VAT returns directly to HMRC. That is a different job from "get this bathroom paid by Friday", and it is also a different job from a CIS-shaped trade invoice.
If a comparison page treats those as the same feature, close it. HMRC's software guidance is clear: compatible software for Making Tax Digital for Income Tax has to create digital records, send quarterly updates, and submit the tax return. An invoicing app that stores PDFs and exports a spreadsheet has done the first of those. It has not done the second or the third. FreshBooks's marketed VAT return filing is a VAT job, not an Income Tax quarterly-update job. Do not blur them.

The short version
Use InvoiceAdept to send invoices and get paid - WhatsApp delivery and Stripe card links with no InvoiceAdept platform fee on Pro, CIS on the invoice on Pro+. Digital records, yes. Filing to HMRC, no.
Use FreshBooks if you are a service freelancer or small agency who wants time tracking, proposals/retainers, a client portal, and an in-product path to MTD-compliant VAT return filing as FreshBooks markets it on the UK plan grid - and you are happy living inside client caps on Lite and Plus.
They can sit together only if you are disciplined. Raise the job in InvoiceAdept. Keep any VAT filing path in FreshBooks (or in a proper accounts package). Do not raise the same invoice twice and call it "integration".
Skip InvoiceAdept if you already invoice happily inside FreshBooks, you do not need CIS on the PDF, and WhatsApp-native send is not why you opened this tab.
Skip paying for FreshBooks as your only tool if you are a UK trade who invoices hard, needs CIS labour-versus-materials on the document, and only needed a way to bill from the van. In that case you are shopping for trade invoicing. Watch the client caps. Lite is 5 billable clients. Plus is 50. That trap sits next to InvoiceAdept Pro's unlimited invoices at £7.99 in the same way Xero Ignite's 20-invoice cap does - different product, same shopping mistake if you only read the promo headline.
What each product actually is
InvoiceAdept is built for UK trades who need a proper invoice out of the door. The company behind it is Tech Me Today Ltd, Companies House 15917255, ICO registration ZB944663. Plans on the pricing page (checked 2 September 2026), all excluding VAT:
Free - £0. Up to 5 invoices a month, one user, email, PDF, customer portal.
Pro - £7.99 a month. Unlimited invoices, up to 3 users, Stripe card payments with no extra InvoiceAdept platform fee, automatic reminders, WhatsApp invoice delivery, branding, recurring invoices, quotes, expense tracking.
Pro+ - £12.99 a month. Everything in Pro, plus CIS invoices, bank reconciliation, cashflow forecasting, advanced reports, an audit log and unlimited users.
Annual billing is advertised at 20% off. Paid features have a 14-day trial.
What that list does not include: quarterly MTD for Income Tax updates, Self Assessment filing, VAT return filing, or the contractor's monthly CIS300 return. Digital records, yes. Filing, no. There is a longer explanation in MTD invoicing software for UK trades.
FreshBooks is invoicing and light accounting for service freelancers. On the live FreshBooks UK pricing page (checked 2 September 2026) the marketed feature set includes unlimited invoices within each plan's billable client cap, quotes, time tracking, expenses, a client portal, recurring invoices and late payment reminders on higher plans, and VAT Return Filing for MTD / "Submit MTD-compliant VAT returns directly to HMRC" on the plan grid. Add-ons printed on that page include Advanced Payments at £15/mo and Team members at £8 per person per month. That is a freelancer/agency stack. The invoice is one screen among time sheets, proposals and retainers - not a CIS-first trade layout.
FreshBooks is not a UK trade/CIS-first product. The FreshBooks UK pricing feature grid we checked on 2 September 2026 does not list Construction Industry Scheme (CIS) support. Third-party UK reviews commonly say there is no CIS module. We are not inventing internal FreshBooks documentation; we are reporting what the live pricing grid does and does not print.

Records versus filing, in HMRC's words
Start on GOV.UK, not on a feature grid.
Find out if and when you need to use Making Tax Digital for Income Tax (last updated 26 March 2026) is the live rule. You need to use it if you are a sole trader or landlord on Self Assessment, you have self-employment or property income, and your qualifying income is over the threshold for the relevant year.
HMRC's current wording:
over £50,000 for the 2024 to 2025 tax year - you should have started from 6 April 2026
over £30,000 for the 2025 to 2026 tax year - from 6 April 2027
over £20,000 for the 2026 to 2027 tax year - from 6 April 2028
Qualifying income is not profit. It is total income from self-employment and property before expenses. A builder who invoiced £56,000 and spent £24,000 on materials is over the 2026 line even if the year felt tight. HMRC reviews your Self Assessment return and writes to people who need to join. They also say that if you did not get a letter, it is still your job to check. There is a tool on that same page. Use it.
Partnerships come later. HMRC says it will set out that timeline separately.
Choose the right software for Making Tax Digital for Income Tax (updated 13 July 2026) is the other page that matters. Compatible software must:
create, store and correct digital records of self-employment and property income and expenses
send quarterly updates to HMRC - summaries, not tax payments
submit the tax return by 31 January the following year
HMRC also says you can use more than one product, but only one product for each separate submission. That is the legal room for a two-tool setup: InvoiceAdept as the place invoices are born, FreshBooks (for VAT, if that is the product you trust for it), Xero, FreeAgent, Sage, QuickBooks, bridging software, or an accountant's package as the place filings leave the building.
VAT is a fourth job if you are registered. The VAT registration threshold is £90,000 of taxable turnover on a rolling 12 months, or if you expect to go over it in the next 30 days - register for VAT. MTD for VAT has been live for VAT-registered businesses for years. InvoiceAdept can put 20% on a line. It cannot submit the VAT return. FreshBooks markets submit MTD-compliant VAT returns directly to HMRC on the UK plan grid we checked. That shopping trip starts at a product that actually files VAT - not at a £7.99 invoicing plan that does not.
If you are mandated for Income Tax and you only kept InvoiceAdept PDFs in Downloads, you have records. You do not have a filing product. That is not a small gap. It is the whole of MTD for Income Tax. FreshBooks's marketed VAT return filing does not automatically mean it sends your quarterly Income Tax updates. Confirm the exact filing behaviour on the plan and account type you buy. Do not assume a VAT tick covers ITSA.
CIS: the gap on FreshBooks versus Pro+
Under the Construction Industry Scheme, contractors deduct money from a subcontractor's labour and pass it to HMRC. Those deductions are advance payments towards the subcontractor's tax and National Insurance.
What you must do as a CIS subcontractor is the GOV.UK page to read first. If you are registered, contractors normally deduct 20%. If you are not registered, they must deduct 30%. Gross payment status means no deduction, if HMRC has granted it. Materials are not in the labour deduction. An invoice that knocks 20% off a mixed lump of labour-plus-timber is how subcontractors give money away.
InvoiceAdept's job on CIS invoices is the document: gross labour, materials, the rate, the amount withheld, the net payable, UTR on the page. That lives on Pro+ at £12.99 a month excl. VAT. It is not on Free or Pro. It is also not the contractor's monthly CIS return. We do not file CIS300.
FreshBooks: there is no CIS on the FreshBooks UK pricing feature grid we checked on 2 September 2026. Third-party UK reviews commonly say there is no CIS module. FreshBooks is invoicing and light accounting for service freelancers; it is not a UK trade/CIS-first product. We are not claiming FreshBooks secretly files CIS300, and we are not inventing a CIS add-on the pricing page did not list.
So: InvoiceAdept Pro+ is the better invoice for a subcontractor who needs the deduction visible before the PDF leaves WhatsApp. FreshBooks is not in that conversation. If you need contractor CIS300 help inside accounts software, look at products that actually print CIS on the feature grid - Xero lists subcontractor CIS calculations and an optional contractor CIS returns add-on on the plans we checked for the Xero comparison; FreeAgent prepares CIS300 figures but still has you file outside the product. Client caps: Lite 5 / Plus 50 versus Free 5 invoices / Pro unlimited
This is the row people miss when they compare "£8 promo" with "£7.99".
FreshBooks Lite at standard £16 a month (promo £8 on 2 September 2026) is capped at 5 billable clients. Plus at standard £30 (promo £15) is 50 billable clients. Premium at standard £42 (promo £21) is unlimited clients. "Unlimited invoices" inside a five-client cage is not unlimited work for a trade who bills many households a month. A painter with twelve domestic customers in September is already past Lite. A landscaper with a busy spring diary burns Plus's 50 before the year feels "enterprise".
InvoiceAdept Free is capped at 5 invoices a month, not 5 clients. One kitchen job with deposit, stage and final can burn the Free cap on a single contract. Free is a way in, not a working trade's forever plan. InvoiceAdept Pro is £7.99 a month excl. VAT with unlimited invoices, WhatsApp send, and Stripe with no InvoiceAdept platform fee. It does not submit your VAT return. It does not send quarterly Income Tax updates. It is not FreshBooks Premium with a smaller logo.

A kitchen fitter who bills deposit, stage and final, plus extras, plus the next three jobs, will burn a client-cap or an invoice-cap depending on which product they chose for the wrong reason. Lite is a way into FreshBooks's freelancer stack, not a forever plan for a working trade who invoices hard. Premium (or Select) is the FreshBooks conversation once client count matters. Pro is the InvoiceAdept conversation when the invoice is the product.
Sending the invoice and getting paid
UK trades already close extras in WhatsApp. The customer who approved the extra socket in a voice note is not waiting in Outlook. Sending the invoice in the same thread is matching how the job was sold.

FreshBooks sends professional invoices, quotes, reminders and portal access. That is real invoicing, and plenty of freelancers live in it. It is not a WhatsApp-native send. For a design client or a monthly retainer, email and a portal still win. Use WhatsApp for domestic and small commercial customers who already message you. Use email for anyone with a purchase order.
On InvoiceAdept Pro, the customer can pay by card from the invoice. Stripe processes it. InvoiceAdept does not add a second percentage. Stripe's rate, as we publish it on pricing, is 1.5% + 20p for UK cards and 2.5% + 20p for international cards. Funds land in your Stripe-connected account; we do not hold the money.
FreshBooks lists an Advanced Payments add-on at £15 a month on the live UK pricing page we checked. We are not inventing a card-collection percentage FreshBooks did not print next to Lite / Plus / Premium. If you turn on card payments inside FreshBooks, read the payment partner's rate card and the add-on terms on the day you enable it. Budget the £15 add-on if that is how FreshBooks routes advanced payment features on your account.
A worked InvoiceAdept example, using only the published Stripe rate. A £1,200 bathroom invoice paid on a standard UK card: 1.5% is £18.00, plus 20p, £18.20. That is Stripe, not us. FreshBooks-plus-card will be whatever that payment partner charges, plus any Advanced Payments subscription if it applies.
Bank transfer remains the cheapest way to get paid on both products. Faster Payments into your own account costs you nothing in platform fees. Put the sort code on the invoice. Offer the card button for the customer who will not open a banking app.
What the monthly numbers actually buy
People compare £7.99 with £8, or with £16, or with £42, and stop. That only makes sense if those numbers buy the same thing. They do not.

Paying £7.99 for invoicing and nothing for filing, when you are mandated for Income Tax or VAT, is not cheaper. It is incomplete. Paying £42 + any add-ons for FreshBooks you will never open for time tracking, when your accountant already files VAT elsewhere, is not cheaper either - you may only need the invoicing front end. Taking FreshBooks's promo (£8 / £15 / £21) without budgeting the standard (£16 / £30 / £42) is how subscriptions surprise you in month seven.
When FreshBooks still wins
FreshBooks is not "the worse invoicing app". It is a coherent freelancer product. It wins when:
You sell time, not brickwork. Time tracking, retainers and proposals are why the page exists.
You are VAT-registered and you want MTD-compliant VAT return filing in the same product FreshBooks markets on the UK plan grid - and you have confirmed that behaviour on the plan you buy.
Your client book is small and stable. Lite's 5 clients or Plus's 50 is a feature if you only have a handful of agencies or monthly retainers, not a bug.
You want a client portal as a first-class freelancer workflow, not a bolt-on.
You are not a CIS subcontractor and you will never need labour-versus-materials deduction lines on a construction invoice.
Your team needs seats and you are willing to pay £8 per person per month as FreshBooks prints, rather than InvoiceAdept's "up to 3 users on Pro / unlimited on Pro+" shape.
If that list is you, stay on FreshBooks. Do not add InvoiceAdept for sport.
When InvoiceAdept wins
InvoiceAdept wins when:
You are a UK trade billing from a phone, often in WhatsApp, and the invoice is the product.
You need a CIS-shaped invoice on Pro+ - gross labour, materials out of the deduction base, rate, net payable - and you are not asking the invoicing app to file CIS300.
You invoice many households or sites, so FreshBooks Lite's 5-client cage (or Plus's 50) is the wrong ceiling, while Pro's unlimited invoices at £7.99 excl. VAT is the right shape.
You want Stripe card links with no InvoiceAdept platform fee, at the published 1.5% + 20p UK card rate (2.5% + 20p international), without budgeting a £15 Advanced Payments add-on first.
You already have an accountant, or FreeAgent/Xero/Sage/QuickBooks for filing, and you only needed the front end to get paid.
Five invoices a month is enough to try it on Free; you already know you will pay £7.99 or £12.99 when the cap goes.

Using both, without making a mess
HMRC allows more than one product, with a hard rule: one product per submission. The clean version for a VAT-registered or Income-Tax-mandated trade who still wants trade invoicing is:
Create and send the invoice in InvoiceAdept. Collect the card or wait for BACS. That is the income record the customer sees.
Make sure the same income lands in your filing product once - from the bank feed when the money arrives, or from a disciplined export, not from raising a second invoice in FreshBooks for the same job.
File VAT from FreshBooks only if that is the product you have confirmed for MTD VAT submission on your plan. File quarterly Income Tax updates from HMRC-recognised ITSA software (or an accountant) - do not assume FreshBooks's VAT tick covers ITSA.
Pick a source of truth. For HMRC, that is the filing product. For "has this customer paid?", that is InvoiceAdept.
If you invoice and file VAT inside FreshBooks, and you do not need CIS or WhatsApp-native send, you do not need InvoiceAdept. If an accountant already files from their own Xero, Sage, QuickBooks or FreeAgent file, you do not need FreshBooks for filing either - you need to ask them which export they actually want. Adding a third ledger is how VAT gets declared twice and CIS gets declared never.

Choose InvoiceAdept, and keep filing elsewhere, if you need WhatsApp send, Stripe without a platform fee, or a CIS-shaped invoice on Pro+, and someone else already files (or you will buy a filing product separately).
Choose FreshBooks as your main system if you want freelancer time tracking, proposals, a portal, and a marketed MTD VAT filing path in one brand, your client count fits the plan, and CIS is irrelevant to you.
Use both if the first paragraph and a FreshBooks VAT paragraph are both true - rare for most trades, more plausible for a mixed design-and-install niche. Be disciplined about double-invoicing.
Choose neither as your only tool if you are a mandated sole trader for Income Tax and you were about to buy invoicing software because a landing page said "MTD". Records are not filing. A VAT return button is not a quarterly Income Tax update.
What we are not claiming
InvoiceAdept is not HMRC-recognised filing software for MTD VAT or MTD for Income Tax. We do not send quarterly updates. We do not submit the return. We do not file CIS300. CIS is not on the Free or Pro plan. The free plan is five invoices, not unlimited. We do not take a platform cut of Stripe payments, and we also do not pretend Stripe is free. We do not run payroll. Does InvoiceAdept file Making Tax Digital updates to HMRC?
No. We keep digital records of invoices, payments and (on paid plans) expenses, and you can export them. We do not send quarterly Income Tax updates and we do not submit your Self Assessment or VAT return. Does FreshBooks file MTD VAT returns?
FreshBooks's UK pricing page (checked 2 September 2026) markets Submit MTD-compliant VAT returns directly to HMRC / VAT Return Filing for MTD on the plan grid. That is FreshBooks's claim about its own software. Confirm on the exact plan you buy. That VAT path is not the same as Making Tax Digital for Income Tax quarterly updates. InvoiceAdept still files neither.
Does FreshBooks support CIS?
There is no CIS on the FreshBooks UK pricing feature grid we checked on 2 September 2026. Third-party UK reviews commonly say there is no CIS module. Treat FreshBooks as a freelancer stack, not a Construction Industry Scheme invoice tool. InvoiceAdept puts CIS deduction lines on the invoice on Pro+ only, and still does not file CIS300.
Can I use InvoiceAdept and FreshBooks together?
Yes, if you are disciplined. Invoice in one place, file in the other, and do not raise the same job twice. HMRC allows more than one product but only one product per submission. Ask your accountant which export they want - CSV, PDF pack, or they ignore your invoicing app and work from the bank feed in the filing product.
Which is cheaper?
It depends what you are buying. InvoiceAdept Pro is £7.99 a month excl. VAT. FreshBooks Lite is £16 standard (£8 promo on 2 Sep 2026) with a 5-client cap. Premium is £42 standard (£21 promo). Those numbers are not substitutes. Paying £7.99 for invoicing and nothing for filing, when you are mandated, is not cheaper. It is incomplete. Paying £16 for Lite and then hitting five clients mid-month is not cheaper either.
What is the FreshBooks Lite client cap?
On FreshBooks's live UK pricing grid (2 September 2026), Lite includes 5 billable clients. Plus includes 50. Premium is unlimited clients. Invoices are marketed as unlimited within those client caps. InvoiceAdept Pro is unlimited invoices at £7.99 excl. VAT - different product, no HMRC filing.
Are FreshBooks promo prices permanent?
No. On 2 September 2026 the live page showed Lite £8 / Plus £15 / Premium £21 alongside standard £16 / £30 / £42. Promos end. Budget the standard figure. InvoiceAdept advertises 20% off annual and a 14-day trial on paid features - also confirm live.
Does either product file my CIS300?
InvoiceAdept: no. FreshBooks: no CIS on the UK pricing feature grid we checked, so do not budget CIS300 around it. Contractors remain responsible for verification, deductions and the return. See GOV.UK on CIS subcontractors.
I earn under £50,000. Can I ignore filing software?
Maybe for this tax year, maybe not. The £50,000 test is qualifying income for 2024 to 2025, before expenses, and it is already in force from 6 April 2026 for people over that line. Later years use £30,000 then £20,000. Use HMRC's checker. Digital invoice records are still useful below the line. Filing software becomes mandatory above it for Income Tax. VAT is a separate £90,000-threshold conversation.
Are the prices including VAT?
InvoiceAdept states that all prices exclude VAT. FreshBooks UK prices above are as printed on the live cards on 2 September 2026 - confirm at checkout whether VAT sits on top of your quote. Stripe and other payment partners charge separately.

Does InvoiceAdept send invoices on WhatsApp?

If you want the invoicing half sorted first, start on the free plan - five invoices - and talk to whoever files your tax before the next quarter date, not after it. If you need the freelancer / VAT-filing half, open FreshBooks UK pricing, pick the tier that matches your client count (not just the promo), confirm VAT filing behaviour on that plan, and ask whether CIS will ever matter to you before you lock in.
