InvoiceAdept vs Xero UK (2026): invoicing or accounting?
Your accountant says Xero. Your mate on WhatsApp says just send the invoice from the phone. Those are not the same shopping trip.
InvoiceAdept is invoicing software. You raise the invoice, send it, and get paid. It keeps a digital record of that income. It does not send Making Tax Digital updates to HMRC and it does not submit your Self Assessment, VAT return, or CIS300.
Xero is accounting software with invoicing. Accountants push it for the books, the bank feed, and an HMRC filing path — VAT returns on the plans Xero lists, and "MTD for Income Tax ready" wording across the live ladder. That is a different job from "get this bathroom paid by Friday".
If a comparison page treats those as the same feature, close it. HMRC's software guidance is clear: compatible software has to create digital records, send quarterly updates, and submit the tax return. An invoicing app that stores PDFs and exports a spreadsheet has done the first of those. It has not done the second or the third.
Prices below were checked on Xero's live UK pages on 4 September 2026 and against InvoiceAdept's published pricing. Tax rules are from GOV.UK. Promo prices move; confirm on xero.com/uk/pricing-plans/ before you pay. Third-party recaps of today's rise matched what Xero's live VAT-registered cards printed — we use xero.com as primary.
The short version
Use InvoiceAdept to send invoices and get paid — WhatsApp delivery and Stripe card links with no InvoiceAdept platform fee on Pro, CIS on the invoice on Pro+. Digital records, yes. Filing to HMRC, no.
Use Xero if you (or your accountant) need cloud books and an HMRC filing path in one brand — bank reconciliation, VAT return submission as Xero markets it, payroll seats on the higher plans, and the CIS tooling Xero prints on the plan grid.
They can sit together. Raise the job in InvoiceAdept. Keep the ledger and the HMRC connection in Xero. Do not raise the same invoice twice and call it "integration".
Skip InvoiceAdept if you already invoice happily inside Xero and you do not care about WhatsApp-native send or a CIS-first invoice layout for a subcontractor on a phone.
Skip paying for Xero as your only tool if you only needed a way to bill from the van and your accountant already files from their own Xero file. In that case you are shopping for invoicing. Watch the Ignite plan carefully. Live Xero pricing on 4 September 2026 still caps Ignite at quotes and 20 invoices. That is the trap next to InvoiceAdept Pro's unlimited invoices at £7.99.
What each product actually is
InvoiceAdept is built for UK trades who need a proper invoice out of the door. The company behind it is Tech Me Today Ltd, Companies House 15917255, ICO registration ZB944663. Plans on the pricing page (checked 4 September 2026), all excluding VAT:
Free — £0. Up to 5 invoices a month, one user, email, PDF, customer portal.
Pro — £7.99 a month. Unlimited invoices, up to 3 users, Stripe card payments with no extra InvoiceAdept platform fee, automatic reminders, WhatsApp invoice delivery, branding, recurring invoices, quotes, expense tracking.
Pro+ — £12.99 a month. Everything in Pro, plus CIS invoices, bank reconciliation, cashflow forecasting, advanced reports, an audit log and unlimited users.
Annual billing is advertised at 20% off. Paid features have a 14-day trial.
What that list does not include: quarterly MTD for Income Tax updates, Self Assessment filing, VAT return filing, or the contractor's monthly CIS300 return. Digital records, yes. Filing, no. There is a longer explanation in MTD invoicing software for UK trades.
Xero is cloud accounting. On the live Xero UK pricing plans page (checked 4 September 2026) the VAT-registered ladder markets send invoices and quotes, accept online invoice payments (payment fees apply), bank reconciliation, Hubdoc / smart document capture, real-time reports, submit VAT returns to HMRC, MTD for Income Tax ready, automate subcontractor CIS calculations and reports, payroll, bill payments, cashflow forecasts, and optional contractor CIS returns as an add-on. That is accounting software. The invoice is one screen among many.
Xero's page also has a Non-VAT registered toggle, and the offer terms mention a Simple plan alongside Ignite, Grow, Comprehensive and Ultimate. Xero's own Simple plan details page (fetched 4 September 2026) markets Simple for sole traders and landlords supporting MTD for Income Tax, and prints: for more than 10 invoices, see the Ignite plan. The Simple detail page we fetched did not print a clear after-intro "Then £X per month" figure in the same way the VAT-registered Ignite–Ultimate cards do. Confirm Simple's live price on Xero's Non-VAT view or at checkout — do not budget from a third-party recap.

That ladder matches the third-party hypothesis for the 1 September 2026 rise (Ignite £16→£18, Grow £37→£39, Comprehensive £50→£55, Ultimate £65→£70). We are not relying on the hypothesis. xero.com printed those after-intro figures on 4 September 2026 (same as 1 September). The older /uk/pricing-plans/updates/ URL returned 404 when we fetched it today, so the live pricing cards are the source of truth.
Xero footnotes online invoice payments with payment fees apply and a "see here" link. We are not inventing a card-collection percentage Xero did not print next to the subscription. Read the payment partner rate card on the day you enable it.

Records versus filing, in HMRC's words
Start on GOV.UK, not on a feature grid.
Find out if and when you need to use Making Tax Digital for Income Tax (last updated 26 March 2026) is the live rule. You need to use it if you are a sole trader or landlord on Self Assessment, you have self-employment or property income, and your qualifying income is over the threshold for the relevant year.
HMRC's current wording:
over £50,000 for the 2024 to 2025 tax year — you should have started from 6 April 2026
over £30,000 for the 2025 to 2026 tax year — from 6 April 2027
over £20,000 for the 2026 to 2027 tax year — from 6 April 2028
Qualifying income is not profit. It is total income from self-employment and property before expenses. A builder who invoiced £56,000 and spent £24,000 on materials is over the 2026 line even if the year felt tight. HMRC reviews your Self Assessment return and writes to people who need to join. They also say that if you did not get a letter, it is still your job to check. There is a tool on that same page. Use it.
Partnerships come later. HMRC says it will set out that timeline separately.
Choose the right software for Making Tax Digital for Income Tax (updated 13 July 2026) is the other page that matters. Compatible software must:
create, store and correct digital records of self-employment and property income and expenses
send quarterly updates to HMRC — summaries, not tax payments
submit the tax return by 31 January the following year
HMRC also says you can use more than one product, but only one product for each separate submission. That is the legal room for a two-tool setup: InvoiceAdept as the place invoices are born, Xero (or Sage, QuickBooks, FreeAgent, bridging software, or an accountant's package) as the place quarterly updates leave the building.
VAT is a fourth job if you are registered. The VAT registration threshold is £90,000 of taxable turnover on a rolling 12 months, or if you expect to go over it in the next 30 days — register for VAT. MTD for VAT has been live for VAT-registered businesses for years. InvoiceAdept can put 20% on a line. It cannot submit the VAT return. Xero markets submit VAT returns to HMRC on the Ignite–Ultimate cards we checked. That shopping trip starts at accounting software, not at a £7.99 invoicing plan.
If you are mandated for Income Tax and you only kept InvoiceAdept PDFs in Downloads, you have records. You do not have a filing product. That is not a small gap. It is the whole of MTD.
Xero prints "MTD for Income Tax ready" and "Xero is HMRC recognised" language on its plan pages. That is Xero's claim about its own software. InvoiceAdept is not on that shopping list for filing. Confirm your own mandate on GOV.UK and confirm the live plan covers your VAT status and your Income Tax submissions.
CIS: the invoice is not always the return
Under the Construction Industry Scheme, contractors deduct money from a subcontractor's labour and pass it to HMRC. Those deductions are advance payments towards the subcontractor's tax and National Insurance.
What you must do as a CIS subcontractor is the GOV.UK page to read first. If you are registered, contractors normally deduct 20%. If you are not registered, they must deduct 30%. Gross payment status means no deduction, if HMRC has granted it. Materials are not in the labour deduction. An invoice that knocks 20% off a mixed lump of labour-plus-timber is how subcontractors give money away.
InvoiceAdept's job on CIS invoices is the document: gross labour, materials, the rate, the amount withheld, the net payable, UTR on the page. That lives on Pro+ at £12.99 a month excl. VAT. It is not on Free or Pro. It is also not the contractor's monthly CIS return. We do not file CIS300.
Xero's live feature grid (4 September 2026) is clearer than many competitors on this split:
Automate subcontractor CIS calculations and reports — included on Ignite, Grow, Comprehensive and Ultimate as Xero prints it (set up subcontractors, payment and deduction statements, monthly return information — Xero's Simple page uses similar wording).
Submit contractor CIS returns — optional add-on at £5 per month on those same plans.
So: Xero is claiming contractor CIS300-style submission as a paid add-on, not as a freebie on Ignite. InvoiceAdept does not file CIS300 at any price. If you are the contractor, the return is still your responsibility even when software helps.
InvoiceAdept is the better invoice for a subcontractor who needs the deduction visible before the PDF leaves WhatsApp. Xero is the better accounts conversation when you want CIS numbers inside the same product that holds bank feeds, VAT and (with the £5 add-on) contractor returns. Ignite's 20-invoice cap versus unlimited Pro
This is the row people miss when they compare "£1.80 promo" with "£7.99".
Xero Ignite after the intro is £18 a month excl. VAT, and the live card still says send quotes and 20 invoices. App-partner transactions can count toward that limit — Xero's own footnote. Ten bills. Auto-reconcile is an extra £3.50 a month on Ignite. Grow at £39 is where unlimited invoices sit on the VAT-registered ladder we checked.
InvoiceAdept Pro is £7.99 a month excl. VAT with unlimited invoices, WhatsApp send, and Stripe with no InvoiceAdept platform fee. It does not submit your VAT return. It does not send quarterly Income Tax updates. It is not Xero Grow with a smaller logo.
A kitchen fitter who bills deposit, stage and final, plus extras, plus the next job, will burn 20 invoices before the month feels "busy". Ignite is a way into Xero's accounts stack, not a forever plan for a working trade who invoices hard. Grow (or higher) is the Xero conversation once the invoice count matters. Pro is the InvoiceAdept conversation when the invoice is the product.
Sending the invoice and getting paid
UK trades already close extras in WhatsApp. The customer who approved the extra socket in a voice note is not waiting in Outlook. Sending the invoice in the same thread is matching how the job was sold.

Xero sends professional invoices. That is real invoicing. It is not a WhatsApp-native send. For a main contractor's accounts team, email still wins — they want INV-0142 in the inbox, not a chat bubble on a site manager's personal phone. Use WhatsApp for domestic and small commercial customers who already message you. Use email for anyone with a purchase order.
On InvoiceAdept Pro, the customer can pay by card from the invoice. Stripe processes it. InvoiceAdept does not add a second percentage. Stripe's rate, as we publish it on pricing, is 1.5% + 20p for UK cards and 2.5% + 20p for international cards. Funds land in your Stripe-connected account; we do not hold the money.
Xero accepts online invoice payments on the plans it lists. The pricing page says payment fees apply with a link for more information. We are not going to invent a card-fee percentage Xero did not print next to Ignite / Grow / Comprehensive / Ultimate. If you turn on card payments inside Xero, read the payment partner's rate card on the day you enable it.
A worked InvoiceAdept example, using only the published Stripe rate. A £1,200 bathroom invoice paid on a standard UK card: 1.5% is £18.00, plus 20p, £18.20. That is Stripe, not us. Xero-plus-card will be whatever that payment partner charges.
Bank transfer remains the cheapest way to get paid on both products. Faster Payments into your own account costs you nothing in platform fees. Put the sort code on the invoice. Offer the card button for the customer who will not open a banking app.
What the monthly numbers actually buy
People compare £7.99 with £1.80, or with £18, or with £39, and stop. That only makes sense if those numbers buy the same thing. They do not.
The 90% Xero introduction is real when the offer is live and you qualify (new UK first organisation, code DC9062619UK on xero.com's terms). Introductory rates end. Budget the after-intro figure. Taking "one month free" can mean a different path from the 90% six-month offer — confirm which checkout actually gives you.

Paying £7.99 for invoicing and nothing for filing, when you are mandated, is not cheaper. It is incomplete. Paying £39 + VAT for Grow you will never reconcile, when your accountant already files in their own Xero org, is not cheaper either — you may only need the invoicing front end.
Using both, without making a mess
HMRC allows more than one product, with a hard rule: one product per submission. The clean version for a mandated or VAT-registered trade who still wants trade invoicing is:
Create and send the invoice in InvoiceAdept. Collect the card or wait for BACS. That is the income record the customer sees.
Make sure the same income lands in Xero once — from the bank feed when the money arrives, or from a disciplined export, not from raising a second invoice in Xero for the same job.
File VAT from Xero on the plan Xero recognises for that submission. File quarterly Income Tax updates from the Xero plan Xero marks as MTD for Income Tax ready for your situation. Do not guess. Check the plan.
Pick a source of truth. For HMRC, that is Xero (or your accountant's file). For "has this customer paid?", that is InvoiceAdept.
If you invoice and file inside Xero, you do not need InvoiceAdept. If an accountant already files from their own Xero, Sage, QuickBooks or FreeAgent file, you do not need a second accounts package — you need to ask them which export they actually want. Adding a third ledger is how VAT gets declared twice and CIS gets declared never.

Choose InvoiceAdept, and keep filing elsewhere, if you need WhatsApp send, Stripe without a platform fee, or a CIS-shaped invoice on Pro+, and someone else already files (often in Xero).
Choose Xero as your main system if you want books, VAT, payroll and filing in one brand, your accountant already lives in Xero, or you need the contractor CIS returns add-on and you are willing to invoice from an accounts package.
Use both if the first paragraph and a Xero paragraph are both true. That is a common 2026 setup, not a failure.
Choose neither as your only tool if you are a mandated sole trader and you were about to buy invoicing software because a landing page said "MTD-ready". Records are not filing.
What we are not claiming
InvoiceAdept is not HMRC-recognised filing software for MTD VAT or MTD for Income Tax. We do not send quarterly updates. We do not submit the return. We do not file CIS300. CIS is not on the Free or Pro plan. The free plan is five invoices, not unlimited. We do not take a platform cut of Stripe payments, and we also do not pretend Stripe is free. We do not run payroll.
Xero is not "the worse invoicing app". It is a coherent accounts product that happens to invoice, with a genuine VAT path, payroll seats, deep accountant adoption, and optional contractor CIS returns at £5/mo as Xero prints. It is heavier to live in when you are on a roof. That is a real cost, not a slogan. Ignite is not unlimited invoicing. Simple is not Ignite.
We are not inventing star ratings, "trusted by thousands", Xero card-fee percentages, or a Simple after-intro price the Simple detail page did not print clearly on 4 September 2026. We are not using the pre-rise £16 / £37 / £50 / £65 figures as current. xero.com on 4 September 2026 still printed £18 / £39 / £55 / £70 after the intro on the VAT-registered cards, plus VAT.
Check the live Xero and InvoiceAdept pricing pages again before you pay. The 90% banner is an offer with terms; VAT sits on top; Simple and Non-VAT pricing should be confirmed on Xero's own toggle, not on a blog hypothesis.
Frequently asked questions
Does InvoiceAdept file Making Tax Digital updates to HMRC?
No. We keep digital records of invoices, payments and (on paid plans) expenses, and you can export them. We do not send quarterly Income Tax updates and we do not submit your Self Assessment or VAT return. If you are mandated, use HMRC-recognised software — Xero is one option many accountants use — or an accountant who files. Longer read: MTD invoicing for UK trades.
Is Xero HMRC-recognised for MTD?
Xero markets itself as HMRC recognised and prints MTD for Income Tax ready plus submit VAT returns to HMRC on the live UK plans we checked on 4 September 2026. HMRC's own choose the right software page is where you confirm products for your situation. We are not HMRC. Confirm on GOV.UK and on the exact Xero plan you buy.
Can I use InvoiceAdept and Xero together?
Yes, if you are disciplined. Invoice in one place, file in the other, and do not raise the same job twice. HMRC allows more than one product but only one product per submission. Ask your accountant which export they want — CSV, PDF pack, or they ignore your invoicing app and work from the Xero bank feed.
My accountant only uses Xero. Do I still need InvoiceAdept?
Only if you want a better day-to-day invoicing front end than you get from living inside Xero on site — WhatsApp send, trade-shaped CIS lines on Pro+, Stripe without an InvoiceAdept platform fee. Many trades keep InvoiceAdept for sending and chasing, and let the accountant own the Xero org for filing. If you are happy invoicing inside Xero already, stay there.
Which is cheaper?
It depends what you are buying. InvoiceAdept Pro is £7.99 a month excl. VAT. Xero Ignite is £18 a month excl. VAT after the intro (promo £1.80 for six months if you qualify). Xero Grow is £39. Those numbers are not substitutes. Paying £7.99 for invoicing and nothing for filing, when you are mandated, is not cheaper. It is incomplete. Paying £18 for Ignite and then hitting the 20-invoice wall mid-month is not cheaper either.
Does either product file my CIS300?
InvoiceAdept: no. Xero: contractor CIS returns are listed as an optional £5 per month add-on on Ignite–Ultimate. What is the Ignite 20-invoice cap?
On Xero's live pricing grid (4 September 2026), Ignite includes send quotes and 20 invoices. Grow and above list send invoices and quotes as included without that 20 cap on the cards we checked. Partner / app transactions can count toward Ignite's limit per Xero's footnote. InvoiceAdept Pro is unlimited invoices at £7.99 excl. VAT — different product, no HMRC filing.
Did Xero's UK prices rise on 1 September 2026?
The live xero.com VAT-registered cards on 4 September 2026 still printed after-intro prices of Ignite £18, Grow £39, Comprehensive £55, Ultimate £70 excl. VAT, with a 90% six-month intro (£1.80 / £3.90 / £5.50 / £7). That matches third-party reports of a rise from £16 / £37 / £50 / £65. Xero's older pricing-update URL 404'd when we checked. Use the live pricing page as primary; prices can change again.
Are the prices including VAT?
InvoiceAdept states that all prices exclude VAT. Xero states all prices are GBP per month and exclude VAT. Stripe and other payment partners charge separately. Confirm at checkout.

Does InvoiceAdept send invoices on WhatsApp?

If you want the invoicing half sorted first, start on the free plan — five invoices — and talk to whoever files your tax before the next quarter date, not after it. If you need the HMRC half, open Xero's UK pricing, pick the tier that matches your invoice volume, VAT, CIS, payroll and Income Tax needs, and ask your accountant which file format they actually open.
